This policy explains what personal information COREFLOW STUDIO LLC collects when you book a class, visit the studio or use this website, how we use it, who we share it with, and the choices you have. If you have a question about anything here, email us at info@coreflowstudio.us.
Who we are
COREFLOW STUDIO LLC, trading as COREFLOW, is an infrared-heated fitness studio at 385 N Franklin Tpke, Ramsey, NJ 07446, teaching Hot Pilates, Hot Sculpt, Sculpt & Strength and Powerhouse. In this policy, "we", "us" and "our" mean COREFLOW STUDIO LLC, and "you" means anyone who books a class, attends the studio, contacts us or uses this website.
What we collect
Information you give us
- Booking and account details. Your name, email address, phone number, and the classes you book, attend, cancel or miss.
- Payment details. Taken through our booking platform when you buy a class pack, credit or membership. We see confirmation that a payment succeeded and the last digits of the card. We never receive or store your full card number.
- Health and safety information. Injuries, medical conditions, pregnancy or other concerns you choose to tell an instructor about so they can keep you safe in class.
- Messages you send us. Anything you include when you email, call or text the studio.
Information we collect automatically
When you visit this website, our hosting provider records standard technical information such as your IP address, browser type and the pages you opened. This is used to keep the site running and secure. The booking pages provided by our booking platform set their own cookies; see Cookies below.
Photographs and video
We photograph and film inside the studio, and any image in which you appear may be used on our social media, our website and other marketing materials. Booking a class means agreeing to this, as set out in our Terms and conditions. Tell any instructor if you would prefer not to appear and we will work around you.
Health information
What you tell an instructor about an injury or medical condition is used for one purpose: to modify class for you and keep you safe. It is shared only with the instructors teaching you. We are a fitness studio, not a healthcare provider, so this information is not medical records held under HIPAA, but we treat it as the sensitive information it is, and we do not use it for marketing.
How we use your information
- To take bookings, run classes, manage waitlists, and apply cancellation and no-show policies.
- To process payments, class packs, credits and memberships, including renewals.
- To keep you safe in a heated studio and modify class to any condition you disclose.
- To contact you about your bookings: confirmations, waitlist openings, schedule changes, closures.
- To send marketing about the studio, such as new classes, offers and events, where you have opted in. You can stop these at any time.
- To answer your questions and provide customer support.
- To meet our legal obligations and to protect the studio, our staff and our clients.
Who we share it with
We do not sell your personal information. We share it only with:
- Our booking and payment platform, which runs class scheduling, accounts and payments on our behalf.
- Service providers who help us operate, for example email and text message providers, and our website host. They may only use your information to provide that service to us.
- Professional advisers, or authorities, where the law requires it or where we need to establish or defend a legal claim.
- A buyer or successor, if the studio is ever sold or reorganised.
Text messages
If you opt in to text messages, we use them for class reminders, waitlist openings and studio updates. Reply STOP to any message to opt out, or HELP for help. Message and data rates may apply.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are never shared with any third party.
Cookies
The marketing pages of this website do not set advertising or analytics cookies. The booking, purchase and account pages are provided by our booking platform and set the cookies that platform needs to keep you signed in and to complete a purchase.
Most browsers accept cookies by default and let you remove or block them in settings. Blocking cookies on the booking pages will stop booking from working.
How long we keep it
We keep booking and payment records for as long as you are a client and afterwards for as long as we need them for tax, accounting and legal reasons. Health information is kept while you are an active client. Marketing contact details are kept until you opt out. When information is no longer needed, we delete it or anonymise it.
Your rights
New Jersey residents have rights under the New Jersey Data Privacy Act, and you may have similar rights under other state laws. These include the right to know what personal information we hold about you, to get a copy of it, to correct it, to ask us to delete it, and to opt out of targeted advertising or the sale of personal information, though as above we do not sell it.
To make a request, email info@coreflowstudio.us. We may need to verify your identity first. We will not treat you differently for exercising these rights. If we turn a request down, you may appeal by replying to our decision.
Children
Our classes and this website are intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child has given us their information, email us and we will delete it.
Security
We use reasonable safeguards to protect your information, and our booking and payment platform is responsible for securing the payment data it processes. No system is completely secure, so we cannot guarantee absolute security. If you have an account, keep your password to yourself and tell us immediately if you think it has been compromised.
Changes to this policy
We may update this policy as the studio changes or the law does. When we do, we will change the date at the top of this page. Significant changes will be announced by email or on this website.
